Purpose

The PDF transformation action edits PDF files automatically as part of a scenario. Use it to merge PDFs, insert custom pages (text), or remove pages from incoming PDF documents before saving or forwarding.


Main features

  • Add a PDF file
    - Merge an external PDF into the current document, browse and pick the file to merge or use a field/template reference to choose a file produced earlier in the scenario.
    - Where to add: choose whether the added PDF is inserted Before first page, After last page, or at another insertion point (when available).
    Typical use cases: append standard terms, add annexes, or merge cover pages automatically.


  • Add a new page (insert custom text page)
    What it does: create a new PDF page containing custom text and insert it into the document.
    - Where to insert: choose the insertion position (Before first page, After last page, After page N,).
    - Text content: enter the text to display on the new page. Use available fields if you want dynamic text (for example a processing date or filename).
    - Formatting options (More options): select font family, font size and color. These settings apply to the text inserted on the new page.
    Typical uses: add cover pages, processing stamps, summary pages, or explanatory notes.


  • Remove page(s)
    Delete specific pages from the original PDF.
    - Page selection: choose which pages to remove (for example First page, Last page, or explicit page numbers).
    Use cases: strip blank covers, remove internal pages not needed for distribution, or remove sensitive pages automatically.

How to configure the action (quick steps)

1. Add the PDF transformation action to your scenario.  

2. To merge another PDF:

   - Enable "Add a pdf file".

   - Select the PDF to add and choose the insertion position (Before first page / After last page / insertion point).  

3. To insert a custom page:

   - Enable "Add a new page".

   - Choose insertion position.

   - Enter the text for the new page. Use fields if you need dynamic content.

   - Open "More options" to set Font, Size and Color.

4. To remove pages:

   - Enable "Remove page(s)".

   - Choose which pages to remove (First page, specific pages or ranges).

5. Click OK to save the action into the scenario.



Behavior notes and tips

  • Ordering of edits: within the single PDF transformation action, merging, inserting and removing are applied according to the selected positions. When combined with other actions in your scenario, ensure the transformation occurs at the correct step (e.g., convert to PDF first, then transform).  
  • Dynamic content: use available field to insert dynamic values (dates, filenames, ...) onto the added page. This is useful for audit or traceability pages.  
  • Fonts and rendering: choose common fonts to avoid substitution issues. If a selected font is not available on the server, a fallback font will be used.  
  • Multi-page insertions: merging a PDF may add many pages—verify subsequent actions (e.g., stamping, saving, notifications) handle the increased page count.  



Error handling

  • If the inserted PDF is missing or inaccessible, the action will fail. Configure your scenario’s error handling (move to error folder, alerts) accordingly.  



Examples

  • Add company cover page: Insert a new page Before first page with processing date and company text.  
  • Append legal terms: Merge a legal-terms PDF After last page for each document.  
  • Remove confidential cover: Remove the First page automatically for documents that should not expose the cover.
