The action Convert to PDF
Modified on Thu, 14 Aug at 4:56 PM
Purpose
Converts supported input files into PDF format. Use this action in a scenario to generate PDFs from documents, spreadsheets, presentations, emails, images, and other supported file types.
Main options
- Page size: Select the target PDF page size (for example A4, Letter, etc.).
- Orientation: Choose page orientation (Portrait, Landscape, or Autodetect to keep the source orientation).
- Quality: Pick the output quality: High, Normal, or Low (affects image compression and PDF file size).
- Margin: Set a uniform page margin to apply around the content.
More options
- Passwords to open the original file
If the incoming file is password-protected, enter one password per line for each file type to allow the converter to open it:
- For a Word file: enter possible passwords (one per line).
- For an Excel file: enter possible passwords (one per line).
- For a PowerPoint file: enter possible passwords (one per line).
Rofiles will try these passwords when opening protected documents so conversion can proceed. - Excel-specific settings
Specify sheets: enter the sheet numbers to convert (example: 1,3,5 to convert sheets 1, 3 and 5). Leave blank to convert all sheets.
- Excel Zoom in %: set the zoom level used when rendering Excel sheets to PDF (default 100%). Adjusting zoom can improve layout for wide spreadsheets. - Email (EML/MSG) presentation
Use this template: choose a presentation template for converting email files. Templates control how the email body, headers, attachments and metadata are rendered into the PDF.
How to configure (quick steps)
- Add the Convert to PDF action to your scenario.
- Choose Page size, Orientation, Quality and set Margin.
- (Optional) Expand More options to add passwords for Word/Excel/PowerPoint files if you expect encrypted inputs.
- (Optional) For Excel inputs, specify sheets and adjust the Excel Zoom % if needed.
- (Optional) For email files, select the desired presentation template (or edit/create one).
- Click OK to save the action in the scenario.
Behavior notes and tips
- Autodetect orientation preserves the source document’s best-fit orientation. Use explicit Portrait or Landscape when you need consistent output.
- Higher quality produces larger PDF files; choose the lowest acceptable quality for large-volume or archival conversions to save space.
- Password lists: enter likely passwords if multiple known passwords might be used; Rofiles will attempt them in order. If none match, the file conversion will fail and the file will follow your error handling (move to error folder, alert, etc.).
Troubleshooting
- If conversion fails for a protected file, verify the password entries and that the password list includes the correct password for the file type.
- Layout problems with Excel can often be fixed by adjusting Excel Zoom or selecting only the necessary sheets.
This action is designed to be simple to configure while providing optional controls for protected files, spreadsheet rendering and email presentation. Use it as the first step in scenarios that convert and post-process files for archiving, distribution or notification.
